Privacy Policy
Effective date: [DATE]
This Privacy Policy explains what information Flockittome Corp (“FlockItToMe,” “we,” “us”) collects through www.flockittome.com and app.flockittome.com (the “Service”), how we use it, and the choices you have. We do not sell your personal information, and we do not use it for targeted advertising.
1. Information you give us
- Account information: your name, email address, password (stored in protected form) and, if you add one, a profile picture.
- Activity you post: Challenges and Flocks you create or join, and Proof you submit, including photos, videos, the quantities you enter and any notes.
- Organization information: if you use a company plan, the organization’s name and its administrators’ contact details.
- Payment information: when you buy a plan or certificates, our payment processor, Stripe, collects your card or account details. We receive only limited information, such as the last four digits and the billing name.
- Messages to us: what you send when you contact support, request a pilot or answer our feedback survey.
2. Information collected automatically
- Device and log information: IP address, browser type, device type, pages viewed, and the date and time of visits. We use this to run, secure and fix the Service.
- Cookies: we use cookies needed to keep you signed in and the Service working. [ATTORNEY/OWNER: confirm whether any analytics or feedback tool, such as Hotjar, sets cookies, and if so describe it here and offer a choice where required.]
We do not collect precise location, contact lists, keystroke patterns or the contents of private messages.
3. How we use information
- To create and run your account, Challenges and Flocks.
- To show Proof, totals and rankings in real time, and to name winners.
- To send verification codes, notices about Challenges you’re part of, receipts and digital certificates.
- To build portfolios you choose to create and share.
- To answer questions and provide support.
- To keep the Service safe, prevent fraud, review reports of offensive content and enforce our Terms.
- To understand how the Service is used so we can improve it.
- To meet legal obligations.
4. Who can see what you post
- Public Challenges and Flocks: members’ names, profile pictures and Proof are visible to anyone using the Service, so results are fair and can be checked.
- Private Flocks: the Flock leader chooses who can see members’ names and pictures: anyone, only Flock members, or only the leader. Other people see protected members only as a numbered member, such as “Flock Member 4687.”
- Your own name and picture are visible to others in Challenges and Flocks you join, unless a setting hides them.
- Portfolios are visible to anyone you give the link to.
- Organization administrators on company plans can see participation in their organization’s Challenges.
5. How we share information
We share personal information only:
- With service providers who help us run the Service under contracts that limit how they use it: Heroku (app hosting and storage), Netlify (website hosting), Transloadit (video and image processing), Google (email) and Stripe (payments).
- With your organization, as described above, if you join through a company plan.
- For legal reasons, when required by law or to protect the safety of people or the Service.
- In a business change, such as a merger or sale, with notice to you.
6. Where information is stored
The Service is operated in the United States, and information is stored on servers in the United States.
7. Young people and foster youth
- The Service is not for anyone 13 or younger, and we do not knowingly collect personal information from them. If we learn that we have, we will delete it and close the account. Parents or guardians who believe this has happened can contact privacy@flockittome.com.
- Users 14 to 17 need permission from a parent or legal guardian. [ATTORNEY: confirm consent method and whether an authorized caregiver or placing agency may consent for youth in foster care.]
- For groups serving young people, including foster youth, we recommend private Flocks with names visible “only to the leader,” and nicknames or first names with a last initial instead of full names. Leaders should follow any rules their agency or court sets about photos and names of youth in care.
8. How long we keep information
We keep account information while your account is open. Completed Challenges and their Proof are kept so results and portfolios stay accurate, unless you delete your content or account. When you delete your account, we delete or de-identify your personal information within [90] days, except where we must keep it for legal, tax or security reasons. Backup copies are removed on a regular schedule. [OWNER: confirm actual deletion practice with the app’s developer.]
9. Your choices
- Edit or delete your profile, Proof, Challenges and Flocks in the app.
- Delete your account in Account Settings or by emailing privacy@flockittome.com.
- Control visibility using private Challenges and Flocks and the member-visibility setting.
- Email: you can opt out of non-essential emails. We will still send verification codes and messages about your account.
10. Your privacy rights
Depending on where you live, you may have the right to know what personal information we hold about you, get a copy, correct it, delete it, and not be discriminated against for using these rights. To make a request, email privacy@flockittome.com. We will confirm your identity before acting and respond within the time the law requires. You may use an authorized agent. California residents under 18 may ask us to remove content they posted. [ATTORNEY: confirm whether CCPA/CPRA applies and whether a separate California notice is needed.]
11. Security
We use reasonable safeguards to protect personal information, including encrypted connections and protected password storage. No system is perfectly secure. If a breach affects your personal information, we will notify you as the law requires.
12. Do Not Track and Global Privacy Control
Because we do not sell personal information or use it for targeted advertising, there is no sale or sharing to opt out of. [ATTORNEY: confirm required wording on Do Not Track and Global Privacy Control signals.]
13. Users outside the United States
The Service is designed for users in the United States. If you use it from another country, your information will be transferred to and stored in the United States. [ATTORNEY: add EEA/UK terms if international competitions, such as France vs. USA, go forward.]
14. Changes to this policy
We will post any changes here and update the effective date. If a change is material, we will notify you by email or in the app before it takes effect.
